1. Privacy Policy
Kairos Merit Staffing Solutions — FZCO ("Kairos Merit", "we", "us"), a free-zone company incorporated in the United Arab Emirates under DIEZ Trade License No. 87536, respects the privacy of every visitor, client and candidate. This policy describes what personal data we collect, how we use it, the legal basis for processing, and the rights you hold under applicable UAE law — in particular Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (UAE PDPL).
Data we collect
Identification, contact and professional data submitted via our Request Access form, candidate intake, or commercial correspondence — including name, company, role, work email, phone, property type, city, hiring volume, hiring timeframe and any message you choose to share. We do not knowingly collect data from minors.
Purpose of processing
We process personal data to (i) evaluate prospective client relationships, (ii) validate candidate profiles against our six-dimension standard, (iii) fulfil contractual obligations under signed engagement letters, and (iv) respond to enquiries received via our website or direct channels. Processing is limited to the activities authorised by our DIEZ licence: Human Resources Consultancies, Employment Brokerage Office Services and Portal services.
Retention
Personal data is retained only for the period necessary to fulfil the stated purpose, or as required by applicable UAE regulation. Client enquiry records are kept for 24 months from last contact; candidate records are reviewed annually and removed when the candidate requests removal or our relationship ends.
Your rights
You may exercise the rights of access, rectification, erasure, restriction of processing, data portability, and objection. Requests may be submitted in writing to the Data Controller listed in section 5. We respond within the timeframe prescribed by UAE PDPL.
2. Terms of Service
Access to the Kairos Merit corporate website and to any commercial service offered by Kairos Merit Staffing Solutions — FZCO is subject to these Terms. By using our services you accept them. The Terms are governed by the federal laws of the United Arab Emirates and by the regulations of the Dubai Integrated Economic Zones Authority (DIEZ) applicable to free-zone licensees.
Scope
Kairos Merit acts as a strategic talent partner for premium hospitality properties in the United Arab Emirates. Our licensed activities are Human Resources Consultancies, Employment Brokerage Office Services and Portal services. We do not operate as a public job board, ATS or generalist recruitment agency.
Engagement
Services are provided under a written agreement (Engagement Letter) that defines scope, deliverables, timelines, replacement conditions and pricing. No offer or shortlist is binding until the Engagement Letter is countersigned by both parties.
Replacement guarantee
Where included in your subscription plan, a candidate who does not meet expectations within the agreed window is replaced at no additional sourcing cost. Specific conditions (timeframe, eligible reasons, exclusions) are set out in the Engagement Letter.
Limitation of liability
To the maximum extent permitted by UAE Civil Code, our aggregate liability under any engagement shall not exceed the fees paid by the client during the twelve (12) months immediately preceding the event giving rise to the claim. We accept no liability for indirect or consequential losses.
4. Data Protection · UAE PDPL Compliance
Kairos Merit Staffing Solutions — FZCO processes personal data in compliance with Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data ("UAE PDPL") and the regulations issued by the UAE Data Office. As a DIEZ-licensed entity (Trade License No. 87536) we also adhere to the data-handling standards prescribed by the Dubai Integrated Economic Zones Authority.
Legal basis
Processing is grounded on (i) the data subject's explicit consent (captured at form submission), (ii) the performance of a contract to which the data subject is party, or (iii) compliance with a legal obligation under UAE law, as applicable to each processing activity.
Cross-border transfers
Any cross-border data transfer follows the safeguards prescribed by UAE PDPL Article 22: transfer to jurisdictions providing an adequate level of protection, or — failing that — under contractual safeguards approved by the UAE Data Office. Service providers acting as data processors on our behalf are bound by written processing agreements consistent with UAE PDPL.

For complaints regarding our processing activities, you may contact the UAE Data Office at the address published on its official website, after addressing the matter to our Data Controller (section 5) without a satisfactory resolution.
